Regional Practice Administrator - Provider Based Oncology and Hematology Clinic

Organizational Relationships: Responsible to the Director of Oncology Program and the Executive Director of Regional Operations for Baptist Health Medical Group; supervises Clinical Practice Managers, Lab Manager, and Pharmacy Manager.

financial profitability through short and long range planning in order to achieve and maintain growth. Continually evaluates practice strategies and plans to meet changing national, state, and local needs.

The CBC Group, Consulting in Blood Disorders and Cancer, is part of Baptist Health Medical Group and provides high-quality management of blood disorders and cancer with leading edge, evidence based practices and is affiliated with national cancer treatment clinical trials and research groups. The group specializes in hematology and oncology, and provides services at Baptist Health Louisville, Baptist Health La Grange, and Baptist Health Eastpoint.

Principal Duties and Responsibilities:The following is a summary of the major functions of this individual's job. He or she may perform other duties, both major and minor, which are not mentioned below, and specific functions may change from time to time.

1. Oversees all operations of the CBC Group department to ensure coordination of services.

2.Collaborates with hospital departments to include but not limited to Pharmacy, Lab, Nursing, IT, Finance, Reimbursement, and Billing to optimize department operations.

3. Works collaboratively with the Baptist Health Louisville Oncology Program Director to promote overall service line growth.

4. Works collaboratively with the CBC Group Medical Director to promote quality, efficient departmental and clinical operations.

5.Works collaboratively with the Baptist Health Medical Group Executive Director of Operations of Kentuckiana assisting with administrative management of the physician practice group.

6. Leads a team of management personnel and works within the matrixed reporting requirements for a hospital outpatient department.

7.Serves as a liaison between hospital administration of both Baptist Health Louisville and Baptist Health La Grange, Baptist Health Medical Group Leadership Team and the physicians within CBC Group.

8. Reviews established policies, procedures, and objectives. Adapts and changes policies as conditions warrant.

9. Ensures policy execution, compliance, and updates.

10.Monitors compliance with all regulatory and accreditation requirements including but not limited to Joint Commission, CMS, ASCO, and Provider Based Department Regulations.

11. Ensures Practice compliance with all documentation, coding, and billing requirements.

12. Analyzes general and specific business conditions as they relate to operational issues.

13.Implements solutions collaboratively with other Baptist Health Louisville and Baptist Health La Grange departments to address operational and financial needs.

14. Provides financial accountability for the department and the physician practice, including revenue, expenses, accounts receivable and budgeting.

15. Promotes CBC Group department growth.16. Oversees development and coordination of new service locations and their

needs as required. 17. Budgets for all operational and capital needs of the CBC Group department.18. Analyzes cost of care and implements solutions to reduce costs while

maintaining quality.

19.Oversees the development of systems (both manual and automated) to properly support CBC Group department-wide activities based upon business needs.

20.Coordinates hardware and software requirements of existing and future systems in conjunction with the health system Information Technology department.

21. Promotes effective communication to optimize informational flow within the department.

22.Oversees the preparation and maintenance of management reports necessary to carry out functions of the practice. Prepares periodic reports as necessary or required.

23. Supervises department staff. Manages the flow of the office to insure compliance, efficiency, employee, and patient satisfaction.

24. Provides expertise to ensure all patients receive high quality, efficient care.25. Solves problems and addresses issues raised by physicians, employees, and

patients. 26. Oversees inventory drug control and infusion center business processes in

conjunction with pharmacists and nursing.27. Oversees laboratory in conjunction with laboratory leadership. 28.

Assists with the CBC Group department’s quality assurance and quality improvement plan.

29. Participates in community events and periodic marketing activities.

30.Conducts regular staff meetings to keep staff informed of necessary Baptist Health Louisville and Baptist Health La Grange and Baptist Health Medical Group information.

31. Implements processes to improve patient satisfaction within the scope of regulatory compliance and hospital policies.

32.Monitors and improves staff satisfaction and employee engagement within the scope of regulatory compliance and hospital and Baptist Health Medical Group policies.

33. Oversees compliance and quality controls of CBC Group Research Department.

34.Reviews and approves or denies contracts for research protocols in partnership with the Research Medical Director. If legal advice is necessary, works collaboratively with Baptist Healthcare System legal department.

The successful candidates will have the following credentials and core competencies:

Bachelor’s degree required, Master’s degree preferred; credentials within the healthcare field strongly preferred.

Minimum of five years’ experience (7+ years preferred) in an operational leadership role within a large medical oncology ambulatory/clinic setting within a hospital oncology service line; candidates with the requisite transferrable skills from another business sector, will be considered.

Demonstrate a keen understanding of basic business operations and the organizational levers (systems, processes, departments, functions) that drive profitable growth; draws from personal experience to quickly evaluate business plans and processes to identify data or recommendations that need further investigation.
