i. It currently reads “Chapter recruitment videos cannot exceed 8 minutes.”

ii. Amended to read “Chapter recruitment videos cannot exceed 10 minutes”

5

iii. Seconded by Alpha Chi Omega

1. ASA – Desirae Deeson (VP Recruitment) - want more time to showcase sorority; do know that 50% is talking but if you don't want to exceed the 10 minutes, other chapters can choose to do 8 minutes

2. Madison – wanted to give PNMs more time to talk to chapter members; with VBR it's important to have values centered conversations and would prefer that chapters have conversations with women rather than watching a video

iv. Approved by Alpha Chi Omega Alpha Sigma Alpha Sigma Kappa Delta Zeta Sigma Sigma Sigma

v. Opposed by Gamma Phi Beta Alpha Omicron Pi

iii. Seconded by Alpha Chi Omega

1. Gamma Phi – is the list what's not allowed?

2. Kate Lenz – yes, the list is what is considered elaborate decorations.

3. Alpha Chi – can you provide clarification on the change?

4. Alpha Delta Pi – do not think that it should be up to the chapter to determine elaborate decorations

5. Madison – NPC prohibits elaborate decorations

i. It currently reads ‘Chapters may only practice chanting, door jams, or played amplified music out of the house between the hours of 11 AM and 8 PM during Spirit Week unless they have received prior approval from the Panhellenic Association.”

ii. Amended to read “Chapters may only practice chanting, door jams, or played amplified music out of the house between the hours of 11 AM and 8 PM during Spirit Week unless they have received prior approval from the Panhellenic Association.”

iii. Seconded by Gamma Phi Beta

1. Desirae Leeson (ASA VP Recruitment) - want it to start at 10am because of their Spirit Week schedule – 11am falls during lunch and wouldn't give them time to practice during lunch

2. Madison – want to limit practice to 7 hours a day because it is disrespectful to the community around our chapter facilities – not everyone living near us is fraternity and sorority houses; chanting for that long results in women being unable to talk during recruitment because their voices are so hoarse

i. It currently reads “ “

ii. Amended to read “PHA will sponsor a required spring bid day two weeks after he PHA info night.”

iii. Seconded by Alpha Chi Omega

1. Morgan Drury (Gamma Phi recruitment chair) - want a set bid day to allow PNMs going through Spring COB to maximize their options; chapters could still offer bids to PNMs but it would give PNMs a deadline to make a decision

2. Madison – spring recruitment is an open process which makes it different to establish a spring bid day; chapters have to reach differnet totals and did a differnet process; what if a chapter hasn't reached total? Or if they reach total two weeks prior and have to wait to celebrate to celebrate their bids?; would make Spring recruitment too formal

3. ADPi – is Gamma Phi proposing a bid day similar to Fall?

4. Gamma Phi – yes, just looking for a set day for spring recruitment to end for everyone

8. T-Shirts/Sweatshirts are allowed.

9. Canvases on display

10. Personal room decorations are allowed.

11. Door Beads

13. No more than 4 strings of decorative lights per room

14. Costumes

15. More than one large (queen size sheet) banner displaying chapter letters, crest, and/or chapter saying inside the house.

16. Decorations hanging from the ceiling or high on the wall are also prohibited for fire safety concerns. This excludes the chapter banner.

17. *Avoid galleries composed of canvases and clothes in the common area.”

10. *Avoid galleries composed of canvases and clothes in the common area.”

iii. Seconded by Alpha Delta Pi

1. Tulle – feel that it is a tradition on preference day to use tule

2. Sets of letters – want reminders for PNMs of what houses they're in; women have letters in their rooms so how specific is the rule?

3. Fabric & wrapping paper – use it to cover composites and photos of alumni

9

4. Lights – also a tradition on preference day to use lights

5. Hanging decorations from the ceiling – is this from the fire marshal?

6. Madison – trying to make a comprehensive list of elaboration decorations; I do not feel any of the items are appropriate for values-based recruitment; if you want to use these items, they would be included in your recruitment budgets; hanging things from the ceiling can be dangerous; lights and tulle don't say anything about your values

7. Alex – we realized after AFLV that we're not fulfilling values based recruitment; we shouldn't have to tell PNMs to think about where they want to be when the decorations are taken down; decorations isn't what your house usually looks like, we're trying to push values based recruitment and make sure are facilities are comfortable and not intimidating; making sure we're not using elaborate decorations makes it clear what they're joining

8. Alpha Chi – at what point does taking away decorations take away individuality? Sometimes those are hung up and that's an expression of our sisterhood and who we are; feels like micromanaging

9. Madison – included that personal decorations are allowed and we want to give women the opportunity to do that – don't want chapters going through the rooms to find the best decorations and showcasing them in areas that PNMs will be

10. ADPi – we decorate our doors during spirit week – is that considered a personal decoration?

11. Madison – if you are decorating it during spirit week it will need to be included in your budget

12. ADPi – we move in before spirit week starts

13. Kate – do it before spirit week starts?

14. Alpha Chi – clarification – it's ok if they have fabric on the doors but it says no fabric or wrapping paper

15. Madison – we can amend to allow fabric and wrapping paper to be removed, but then it needs to be included in your recruitment budget

16. Madison – it's approved if you add it to your budget?

17. Madison – it would just be the fabric, which we would need to amend

18. Alpha Chi – no more than 4 strings of decorative lights per room – you suggested it's for safety reasons

19. Madison – safety reasons and elaborate decorations

10

iv. Approved by unanimous consent

8. Delta Zeta

a. 11j

i. It currently reads “There will be no banging on the walls of chapter house, stomping, or jumping at any time during any recruitment event. Chapters may only use one speaker. Singing or chanting outside the house is not permitted.”

ii. Amended to read “There will be no banging on the walls of chapter house or jumping at any time during any recruitment event. Chapters may only use one speaker. Singing or chanting outside the house is not permitted.”

iii. Seconded by Alpha Delta Pi

1. DZ – want to eliminate stomping because we think it's important for keeping the beat when chanting or singling songs; understand that it's because of how old the houses are but it depends on the level of stomping and we should be able to do that when we sing

2. Madison – it's not just that your houses are old – if 200 members are stomping at the same time on the staircase it could lead to an accident

3. ADPi – how will that be enforced?

4. Kate Roessler – it's pretty clear when you're standing outside

5. ADPi - but what about when the doors are closed? How will you tell?

6. Alex HOlmes – a woman from Panhellenic will be there as well as Pi Chis

7. Audrey – when you're stomping it's to be loud, but if there's one girl to keep the beat is there a way to do that?

8. Rachel Mertens – in one song we stomp instead of clap in one part of our song – not necessarily to be louder

9. Kat Milla – ADPi's houses has a crack in it because in the past they've stomped on their stairs – this is important for safety

10. Morgan Drury – from personal experience the chapters are already loud and don't need to stomp to support VBR

11. Caiti Sloman – there are other ways to keep the beat; the chanting and screaming is already intimidating for PNMs and stomping just adds to that

ii. Amended to read “There will be no banging on the walls of chapter house, stomping, or jumping at any time during any recruitment event. Chapters may only use two speakers. Singing or chanting outside the house is not permitted except by the two women opening chapter house doors.”

iii. Seconded by Sigma Kappa

1. SSS – want to have 2 speakers because their windows are spread apart and would like to have a speaker in each window

2. Madison – PNMs said in the recruitment assessment said that they were intimidated and scared by how loud the sounds were when they went through recruitment – want to help bring down the noise level so that they feel comfortable

3. ASA – having that many women in one place with one speaker makes it difficult to hear the music; people on the other side of the house may not be able to hear as well

4. Emily – I served as a Door Girl last year; PNMs were frightened by how loud everything was

5. Morgan Drury – volume isn't values based

i. It currently reads “With the exception of a chapter shirt, chapters cannot make it mandatory for members to purchase a specific garment or accessory. The chapter may define color schemes, but such articles should reflect members' individual style.”

ii. Amended to read “With the exception of a chapter shirt, chapters cannot make it mandatory for members to purchase a specific garment or accessory. The chapter may define color schemes and level of formality, but such articles should reflect members' individual style.”

iii. Seconded by Alpha Chi Omega

1. AOPi – recruitment chair feels its confusing when giving a dress code to the chapter because they don't know if they can specify what type of dress to wear

2. Audrey – was a PI Chi last year, having the experience with PNMs – they were intimated by how women were dressed on Day 2 and felt lesser as a result; want to make them feel equal to the women they're speaking to

3. Alex – that doesn't mean you have to be in a gildan t-shirt; can be off the shoulder, loose, non-cotton, and are still less formal than wearing a dress or nice slacks – you're not totally informal but it will make the PNMs feel more comfortable; PNMs are nervous and have been waiting in line; as a pi chi you see how recruitment can diminish girls and taking this step is a good way to push for VBR

4. Alpha Chi – do you want to keep level of formality?

5. AOPI – recruitment chair is worried people wont' know what to wear for recruitment if she can't specifiy level of formality

13

6. Caiti – level of formality for each day is already in the recruitment rules

7. Alpha Chi – since madison added it elsewhere – should we be focused on that?

8. Madison – the discussion of formality is there, but she wants to amend it at the top of the section; important to remember that in recruitment you're trying to meet new women; by decreasing the level of formality we want to make it a more relaxed process; also gives more opportunity to talk about your values

9. ADPi – what are we trying to vote on? I don't understand.

10. AOPi - [restated amendment]

11. Sigma – keeping the first sentence or removing it?

12. AOPi – keeping the first section

13. Alpha Chi – to clarify – chapters can still determine their own level of formality if this passes?

14. Madison – yes

15. Alexis Ingold – keeping the level of formality in the rules doesn't mean that we have to be formal – it could mean low formality; we just want to be able to tell our women how formally they need to dress – this will be easier for the recruitment chair

16. Grace Reeves – we are welcoming guests into our homes and we don't want to look sloppy; it's out of respect for them that we look nice and look professional

17. Katie McGinty – level of formality does change each day; they wear a t-shirt and shorts on the first day and you can wear a cute t-shirt and be on the same level as them; Day 2 they're wearing a different shirt and maybe a skirt

18. Audrey – we are all here for the PNMs – why would we not want to do everything we can to make sure they're comfortable?

19. Maddie Schnell – I don't think it's that we don't want them to be comfortable, but when we are all supposed to be wearing dresses you're expected to wear a dress that is nice enough and not a t-shirt as a dress

20. Sigma Kappa – each sorority can choose their own formality to match the PNMs

21. Caiti – moves to limit discussion to 3 more points

22. ADPi – if we did vote on this, does it change what happens later on in Day 1A and Day 1B

23. AOPi – no we just want to change it for what the recruitment chairs tell our chapters

14

24. ADPi – page 18 under formal recruitment schedule reads Day 2 descriptions – does

25. Kate claifies that it would have to be a subsequent amendment

26. Gamma Phi – instead of voting to approve the recruitment rules today can we move to vote after spring break?

27. Kate – yes, you can move to table to vote until a later date

14. Decorations hanging from the ceiling or high on the wall are also prohibited for fire safety concerns. This excludes the chapter banner.”

iii. Seconded by Alpha Chi Omega

1. Madison – the purpose of this is to discourage elaborate decorations; even if you have a table in your living room and a PNM can see it but it has excessive flowers, it can be misleading

2. ADPi – what if it’s there all the time?

3. Madison – you can move them for recruitment

1. Madison – the purpose of this rule is to give you an example of what I will be looking for when we review and approve your video – you wouldn't get an infraction, it just wouldn't be improved

i. It currently reads “Day 1A and Day 1B are the first two days of recruitment and are considered “Open House” days. All PNM’s are required to attend all events between these two days. Dress is casual. The PNM’s will be wearing the t-shirts provided by Panhellenic. Chapters must follow the same level of formality as the PNM’s. No food of any kind can be served. Only water and lemonade are allowed for drinks. The room for presentation is the only room where decorations are permitted. This is the only day that house tours are incorporated in the party, decorations must be contained only to those rooms and hallways seen in the hours tours.”

1. Madison – I think we're saying the same thing, but if it's more clear then we should change it to reflect that

a. Clarification over Attendance policy

i. SSS- Is there any way to increase the amount of time we have the attendance sheet before we open the doors

ii. Kate- You would have to make an amendment to do so but the chapter determines for themselves and then the door girl will follow that.

a. Clarification over day 1b

i. We wear button ups – would that not be allowed?

ii. Madison – button ups would be considered too formal

iii. Alpha Chi - ¾ of the chapter already has them and we think it's causal if we pair it with shorts and sandals; we don't have to spend that much more money

iv. Madison – I get that but button downs are not very informal; I would err on the side of caution because not every woman is going to be looking informal

v. ADPi – does that mean if they wear t-shirts that we have to be t-shirts

vi. Madison – it doesn't' have to be; if you wear a button up with jeans or something informal, it can be informal; the purpose

was to give the chapters more freedom and I don't want to tell you to wear something specific; if you're casual, it's considered the same level of formality; going with a t-shirt is an easy way to do this

vii. Gamma Phi – I think we should spell it out in the rules because we don't know what is considered formal and what isn't
