Executive SummaryIndependent University, Bangladesh (IUB) has accounts and finance department which

department is maintaining all the accounts and finance related matters. This department is

maintaining many types of activities in IUB. Like tuition fees collection, supplier payments,

purchase requisition approval, employee salary payment, car parking payment collection,

convocation payment, transcript payment collection, certificate payment collection etc. IUB

Accounts & Finance Department uses 10.50.255.36:8080/IubAcct/iubUser system to maintain

its whole regular activities. The system is efficient and economically, technically, operationally

and legally feasible. This system is very helpful, requires less time, improve services than before.

We have visited to IUB accounts and finance department and CITS to collect information about

the database. Also we talk with the people who are related to the accounts and finance

department. We get the network design of this department. We get some information about

network design also how this network function actually installs and work. Sometime they face

some problems in maintenance and operation (server down, network slow etc). They back up

their all data weekly. We discussed with the department related people and took their opinion

and exasperated to give some recommendation based on the limitations of current system. The

information that we gather from them all are written over the report.

Introduction:IUB is a leading private university in Bangladesh situated in Dhaka. IUB’s accounts and finance

department plays an important role for maintain all the accounts and finance related matter.

Presently IUB’s accounts and finance department is situated at the western part of the university

building. There are more 10 employees are doing their job in this department. IUB Accounts &

Finance Department uses 10.50.255.36:8080/IubAcct/iubUser system to maintain its whole

regular activities. This system makes their daily works lot more easier and faster. The system is

efficient and economically, technically, operationally and legally feasible. By this system this

department records their all transaction and all activities. There are many software and hardware

is using in this department.

Accounts & Finance Department Activity Performed:IUB Accounts & Finance Department has three types of server: a) Database server b) Web Server (UGC authorized website) and c) LAN based web server ORACLE (used internally). Accounts & Finance Department database is used operating system of Windows.IUB Accounts & Finance Department uses 10.50.255.36:8080/IubAcct/iubUser system to maintain its whole regular activities. It is UGC authorized software and Accounts & Finance Department authority changes it as their certain need.

Activities:

Tuition fees collect: They collect tuition fees from the student on Bank Asia Ltd. & Mutual trust

bank Ltd.

Supplier pay: After receive purchase requisition, Work Order, Quality Certificate Paper,

Challan, Bill & other all confirmation and then they pay to the supplier.

Purchase Requisition Approve: The Purchase Department provides them to approve the

requisition. They talk to user department & if Budget is available, they approve the requisition.

Employee Salary Pay: They pay all employee salary into Bank Asia ltd. & Mutual Trust bank.

In this bank every employee has a employee salary account number.

Car parking Payment collect: They Collect car parking money for every car in 30 days

validity. They provide a card for each car.

Convocation Payment: They collect money 6000 BDT for every student for their convocation.

Transcript payment collects: If any student want transcript, they charge 100 BDT for student

copy & 500 BDT for Original Copy.

Certificate payment collect: For collect Certificate every student must pay a amount for that.

Hardware:As we know computer hardware is a collection of physical elements of a computer system. All of which are physical objects that you can actually touch. As per this for our Accounts & Finance Department there is 10pc, 10 printers, 4 scanners and a server & network set up.

System cats 6 A:

The latest standard from the TIA for enhanced performance standards for twisted pair cable

systems was defined in February 2009 in ANSI/TIA-568-C.1. Category 6A is defined at

frequencies up to 500 MHz—twice that of Cat 6.

Category 6A performs at improved specifications, in particular in the area of alien crosstalk as

compared to Cat 6 UTP (unshielded twisted pair), which exhibited high alien noise in high

frequencies.

The global cabling standard ISO/IEC 11801 has been extended by the addition of amendment 2.

This amendment defines new specifications for Cat 6A components and Class EA permanent

links. These new global Cat 6A/Class EA specifications require a new generation of connecting

hardware offering far superior performance compared to the existing products that are based on

the American TIA standard.

The most important point is a performance difference between ISO/IEC and EIA/TIA component

specifications for the NEXT transmission parameter. At a frequency of 500 MHz, an ISO/IEC

Cat 6A connector performs 3 dB better than a Cat 6A connector that conforms with the EIA/TIA

specification. 3 dB equals 50% reduction of near-end crosstalk noise signal power.

Confusion therefore arises because of the different naming conventions and performance benchmarks laid down by the International ISO/IEC and American TIA/EIA standards, which in turn are different from the regional European standard, EN 50173-1. In broad terms, the ISO standard for Cat 6A is the highest, followed by the European standard, and then the American (1 on 1 matching capability)

Efficiency: Accounting Software can easily and efficiently be installed. A complete modern Web-based,

Multilingual ORACOL system, Using accounting software, it is very much efficient in terms of

cost, time, and service. At the beginning, to install software one needs technical support and get

it running on an HP server. But once set up, information across and running day-to-day is

straight forward.

Feasibility:IUB accounts have accounting software which is provided by the UGC, if they develop this from

outside then it might cost a lot. They are using a complete modern Web-based, Multilingual

ORACOL system. So, IUB accounts system is economically feasible. This system is very much

proficient in cost saving. It has reduced the waste of time by providing good on-line service.

Investment:Some IS projects may be not be attractive from cost or benefit aspects; they may have a high

effect on corporate performance. Accounts system will be revenue related projects though it is

provided by UGC. The benefits arising from this system are hard to count and hence they appear

to be unattractive from cost-benefit viewpoint. Though the system is gained from UGC but its

maintenance and other facilitate services have a cost which is considered as revenue investment.

Businesses often do not perform cost-benefit analysis for such projects. IUB Accounts

Department provides user focused services. So it can be said that it’s a revenue related

investment.

Problems with Current System: Maintenance and Operation:

They use UGC authorize software system which is only can change by top finance

and accounting director and deputy director.

Back Up:

They backup their file and transaction in every week. According to the finance and accounts senior accounts manager, currently there isn’t any problem in backup system of the data. The database or data or processed information backup has been done weekly in the main server.

Security:

It’s not open system for all so it’s very secured system. There is no possibility of

losing saved data or being damaged or being hacked.

Limitations: The server where the Accounts software system’s database is saved is under the control of CITS

department which provides services to other departments’ systems. So if the main server falls

then the library authority nothing to do with server until the CITS department set up the server.

IUB Accounts Software is UGC Provides software. IUB Accounts just customized it as its needs.

So So Customization may not be as great for that department..

Documentation is limited and aimed at Accounts Software developers. There usually is limited

technical support, especially for users of the software.

Recommendation: IUB Accounts Department should use a high speed server which has more space and physically

good.

Though Accounts Department has no own server, dependent on CITS. It should buy a new server

though it will be more expensive and require more manpower and physical location.

IUB Accounts & Finance Department should use licensed software which will more effective for

them.

Conclusion:10.50.255.36:8080/IubAcct/iubUser is well-established software and perhaps one of the most

efficacious software currently. It is user friendly and supports the mission of Accounts & Finance

Department. But it is comparatively new and verified software. Accounts & Finance Department

authority faces different kind of problems in maintenance and operation. To get rid of these problems

IUB Accounts & Finance Department can own their particular licensed software though that will be more

expensive, time consuming and require more manpower to authorize that.
